We are seeking a proactive and detail-oriented Business Operations Coordinator to support the day-to-day running of our clients dynamic coaching firm. The successful candidate will be instrumental in ensuring smooth business operations, maintaining systems and processes, coordinating marketing and lead generation activities, managing data, and providing administrative support to the team.

The hours:

  • Monday - Friday
  • 8.30-4.30pm

Key Responsibilities:

Business Operations & Administration

  • Manage diaries, meetings, and leave approvals.
  • Coordinate with external resources.
  • Manage HR documentation, contracts, onboarding, and performance reviews.
  • Oversee equipment procurement, IT system research, automation, and AI tool implementation.
  • Manage petty cash, invoicing, and reconciliations.
  • Ensure adherence to internal policies and procedures.

Sales & CRM Process Support

  • Maintain HubSpot CRM: data sourcing, imports, contact management, deal workflow automation.
  • Qualify leads, coordinate with telemarketing, manage sales pipeline.
  • Ensure accurate KPI tracking and reporting across all lead generation activities.

Marketing & Digital

  • Manage the internal marketing resource
  • Analyse results and recommend improvements for ROI on marketing spend.

Client Support & Program Management

  • Support client onboarding, agreements, and records.
  • Collaborate on client events

Project & Strategic Support

  • Assist in commercial strategy meetings and execution.
  • Liaise with key stakeholders, including weekly check-ins with leadership.

Skills and Experience:

  • Strong experience in administrative and operational coordination.
  • Proficient in HubSpot or similar CRM tools.
  • Comfortable with data management, digital tools, and marketing systems.
  • Organised, proactive, tech-savvy, solutions-focused, problem-solver and innovative
  • Experience in client-facing environments and project delivery.
  • Competency in QuickBooks or accounting basics a plus.
  • Proven track record of keeping everything on track and running seamlessly

  • Highly organised and able to juggle multiple tasks
  • Experienced with HubSpot or similar systems
  • A great communicator who enjoys making things happen
  • Comfortable working with data, tools, and processes
  • Energetic, proactive, and a natural problem solver
