Do you have experience working in residential, commercial or holiday property lettings? Do you enjoy working in a fast paced, customer facing environment balancing a busy work load in the office and getting out and about meeting customers or tenants? 

An opportunity has become available to join an established, versatile Country Estate in Norfolk as a Residential Property Coordinator supporting the management of a large property portfolio. This is an ideal position for a customer focused, proactive and enthusiastic individual to join an experienced Property Management Team. You will be assisting with the running of an impressive portfolio providing administrative support throughout the tenant life cycle from conducting checks, and preparing agreements to coordinating maintenance requests, referencing meter readings and everything in between. You will be a warm, approachable point of contact and provide an in-person service to welcome tenants to the properties.  You will also provide support to the Holiday Lettings Management Team and have variety between the two portfolios. 

The Property Coordinator will liaise with several departments and leadership teams across the Estate and therefore must have excellent communication and organisation skills, and be able to respond and react in an efficient manner to ensure everything is done as planned and on schedule.

Key responsibilities

  • Carry out administration for the tenancy lifecycle including relevant checks, prepare tenancy agreements, and arrange deposits
  • Arrange pre-tenancy tasks such as cleaning and property maintenance
  • Carry out face-to-face check-ins/check-outs with tenants providing a professional customer service
  • Liaise with utility companies regarding incoming and outgoing tenants
  • Provide administrative support to the holiday lettings management company 
  • Assist with tenancy management and manage incoming enquiries
  • Coordinate repairs and maintenance with the Estate team and conduct annual property inspections to asses conditions
  • Provide support to the Health, Safety & Compliance Manager ensuring that all health and safety and other legislative guidelines are complied with at all times
  • Maintain the database ensuring all records and data are up to date at all times
  • Monitor monthly rents and support the Accounts Team.
  • Be proactive and forward thinking to improve processes and ways of working
  • To ensure compliance with official industry memberships.

Experience Required

  • The ideal candidate will have experience of residential property lettings and management
  • Experience in identifying and reporting property repairs as required 
  • Knowledge of Concerto is desirable 
  • Strong organisational skills and proven track record of working to project schedules on time
  • Excellent interpersonal skills to resolve issues
  • Ability to build and maintain good relationships with customers 
  • Understanding of financial reporting
